About the firm and the role

We are seeking a Purchasing Manager to join our team and who will contribute to the overall excellence of work delivered by [your firm name].

Responsibilities

  • Lead the purchasing function with responsibility for department level profitability and the application of best practices to ensure efficient and effective purchasing processes at the firm.

  • Collaborate with team members to purchase, deliver, and install materials and furnishings. Coordinate on all submittals and delivery and installation requirements. 

  • Design, implement and maintain the purchasing process workflow and software ecosystem. Establishes initial processes and trains team members in system usage. Train design and technical team on all aspects of the purchasing process.

  • Develop and maintain project budgets based on schematic plan layouts and the client profile. 

  • Review initial client budget, schedule and contracts, and plans shipping, delivery and installation logistics, insurance requirements, and the overall project schedule.

  • Provide updates to clients on the status of their projects and all purchased goods.

  • Prepares purchase orders and collaborates with the designers to finalize and approve the product orders. Regularly track and coordinate orders from acknowledgment to final delivery and install including manufacturing, shipping, receiving and storage.

  • Conducts kick-off meetings with interior design team members to review project scope and strategize all logistics related to items being purchased.

  • Draft and update the Purchasing Service Agreements with appropriate input from additional stakeholders.

  • Assist the accounting team in the management of client budgets including for invoices, and for the reconciliation of accounts at project closeouts and producing final project reports.

  • Produce internal and external financial reports, process payment of purchased goods, track funds, reconcile account statements and performs basic record keeping.

  • Proactively update exec team on purchasing department activities and progress against strategic and financial goals.

  • Sources, develops and maintains key vendor relationships on behalf of the firm and maintains a master interiors vendor database.

  • Coordinates with project teams to quickly communicate and resolve issues related to product availability, product reselections, and changes.

Skills and attributes

  • Demonstrated experience establishing, negotiating and managing budgets and schedules in collaboration with all stakeholders, including clients, vendors, receivers and installers, to ensure purchased goods are received and installed on time and on budget.

  • Proficient in purchasing organization software, purchase order tracking software (MaterLog), and MSOffice

  • Experience designing and implementing software systems and workflows that streamline the specification, purchasing and tracking processes.

  • Ability to establish and maintain relationships with manufacturers, work rooms, receivers, freight, delivery, and installation companies.

  • Experience managing teams of procurement agents and others – including effectively hiring, onboarding and reviewing individuals for high performance.

  • Ability to communicate and coordinate effectively 

  • Highly organized and proficient multi-tasker.

  • Strong analytical, conceptual, organizational and time management skills.
